Look up a child's record

Tap a child anywhere in the staff app to open their record. Child Records gives you the full list with a search box — search by name or classroom.

A record has five tabs: Info, Family, Medical, Classroom and Billing.

The Medical tab opens with a red banner when the child has allergies, and a Severe badge when any of them is severe.

  • Allergies — each one with its severity, and an Action Plan where the family has given one. Read the action plan before a meal, not during an incident.
  • Medical Conditions — with Active or Inactive.
  • Medications — dosage and frequency, and a Facility Admin badge on the ones your facility administers.
  • Immunizations — each showing Up to Date, Due, Overdue, Exempt, Not Required or Unknown.

The Family tab has three sections: Parents / Guardians, Emergency Contacts and Authorized Pickups. Every phone number is a button — tap it to dial.

Only release a child to someone listed under Authorized Pickups with an Authorized badge. If a parent has custody arrangements on file, they appear in a Custody Notes box on their card. Read it. If someone not on the list arrives, do not release the child; call the parent and your facility lead.

Date of birth and age, address, medical provider details (the pediatrician’s number is tappable), dietary preferences and special needs. Read-only.

Shows the child’s current classroom and their weekly schedule.

To move a child for the day:

  1. Tap Change.
  2. Under Assign to Different Classroom Today, pick the classroom.
  3. Tap Assign.

This changes today only. Permanent moves are made in the web app.

The child’s tuition plan and any outstanding invoices. You can record a check payment here: tap Record Check on the invoice, type the check number, then Save. Only do this if handling payments is part of your role — the record is what your facility reconciles against.

You get “Child not found”. Open the child from the Home tab list instead. There is a known problem with opening a record from the classroom roster and from the Child Records list.
