Employees
Employees in the sidebar lists your staff with their position, status, roles, hire date and email.
Add an employee
Section titled “Add an employee”Select Add Employee:
- First Name, Last Name and Email are required
- Phone, Position and Hire Date are optional
- Roles — pick at least one. Permissions from all selected roles are combined
- Allow app login — on by default
With Allow app login on, saving sends an invitation email so they can sign in to the web app and the staff app. With it off, you get a record with no access — useful for someone who starts next month.
New employees are always created Active. The status field appears once the record exists.
Inside an employee record
Section titled “Inside an employee record”Seven tabs: Overview, Profile, Roles & Permissions, Credentials, Schedule, Classrooms and Time & Attendance.
Roles & Permissions
Section titled “Roles & Permissions”Switch roles on and off, and see the read-only Effective Permissions — everything the combined roles allow, grouped by category. Save Roles applies it.
Give the narrowest set of roles that lets someone do their job. Anyone with access to children’s medical records, family contact details or billing should have it because they need it, not because it was easier to hand out.
Schedule
Section titled “Schedule”Edit Schedule sets start and end times per day, or ticks Off. This is the pattern rooms and ratios are planned against.
Classrooms
Section titled “Classrooms”Current and past classroom assignments, with the role held in each.
Credentials
Section titled “Credentials”CPR, first aid, background checks and qualifications for this person, with Add Credential. See Staff credentials.
Time & Attendance
Section titled “Time & Attendance”Their entries for a date range, with total, regular, break and overtime hours. Entries come from the staff app’s clock-in.
When someone leaves
Section titled “When someone leaves”Change their status on the Profile tab — Inactive, Suspended or Terminated, confirming the change. Do it the same day:
- it removes their access to children’s records
- it keeps their history, credentials and hours, which you may need for an inspection
Do not delete the record.
