Waitlist
Enrollments → Waitlist holds families waiting for a place.
Add a family
Section titled “Add a family”Select Initiate Waitlist and fill in Email Address, Phone Number, Parent Name, Child Name, Desired Start Date, Priority Date and Is Subsidized?.
Priority Date is the one to be careful with: it is the date you will order your list by, and families ask about it. Use the date they first asked, not the date you typed it in.
Statuses
Section titled “Statuses”| Status | Meaning |
|---|---|
| Waiting | On the list |
| Pending Enrollment | Moved into registration, not yet enrolled |
| Enrolled | Enrolled. The record is kept for reference |
| Cancelled by Customer | The family withdrew |
| Archived | Out of the active list, still searchable |
Move a family into registration
Section titled “Move a family into registration”Open the record and select Move to Registration, available while the status is Waiting. The status becomes Pending Enrollment and the family goes through the registration form.
Edit a record
Section titled “Edit a record”Open it and select Edit Details. You can change the contact details, both dates and the subsidy flag, then Save Changes. Editing is available for Waiting and Pending Enrollment records only.
Archive
Section titled “Archive”Archive on a row marks it archived and moves it out of the active statuses. Nothing is deleted, and you can still find it under the Archived filter.
Families can cancel themselves
Section titled “Families can cancel themselves”A family who received a waitlist email can cancel their own spot through the link in it. That sets the record to Cancelled by Customer — you do not need to do anything, but it is worth checking the list weekly so your ordering stays real.
One thing to watch
Section titled “One thing to watch”A record you create with Initiate Waitlist starts as Pending Enrollment rather than Waiting, so it will not show under a Waiting filter. Set it as you intend after creating it.
