Users and invitations

Users lists the accounts that can sign in, with their username, name, created date, last login and whether they are disabled.

  • Employees are the people who work at your facility — with classrooms, schedules, credentials and hours. Adding an employee with Allow app login creates their access too, and that is the normal route.
  • Users is the lower-level account list, for access that is not tied to an employee record, such as an owner who does not appear on a roster, or a bookkeeper.

If in doubt, add an employee.

  1. Select Add User.
  2. Enter the Email Address.
  3. Choose Subscription Roles: Internal User (Staff) is always on, plus Subscription Billing, Global Administrator, User Administrator and External User (Parent) as needed.
  4. Choose Account Roles: Account User is always on, plus Account Billing, Account Administrator and Account User Administrator.
  5. Select Add User.

They get an invitation email. User invitation sent confirms it went.

Global Administrator, User Administrator and their account-level equivalents let someone create and change other people’s access, including yours. Give them to as few people as possible, and review the list when someone changes role or leaves.

Last Login Date is the column to scan for accounts nobody is using any more.

Edit on a row changes their first name, last name and both sets of roles. Removing a role takes effect at their next request, not at some later date, so removing access is immediate.

There is no delete action on this screen. To stop someone signing in, remove their roles, and set their employee record’s status to Terminated if they have one. That keeps the history while closing the door.
