A child's record
A child’s record opens with their name, gender, date of birth and status, and has ten tabs.
| Tab | What it holds |
|---|---|
| Overview | Alerts for allergies, conditions and overdue immunisations, plus classroom and emergency contacts |
| Personal Info | Names, address, medical provider, dietary preferences and special needs |
| Family | Parents and guardians, siblings, emergency contacts, authorised pickups |
| Medical | Allergies, conditions, medications, immunisations |
| Classroom & Schedule | Current classroom, enrollment schedule, daily reassignment, history |
| Billing | Tuition plan, invoices, billing split |
| Documents | Uploaded files and insurance |
| Gallery | Photos and videos tagged with this child |
| Daily Report | The day’s logged entries |
| Development | Milestones and observations |
The Medical tab carries a red count of allergies plus overdue immunisations. Look there first for a child who is new to you.
Update the basics
Section titled “Update the basics”Personal Info → Update opens the drawer with names, gender, date of birth, address, medical provider and the dietary and special-needs notes.
Family
Section titled “Family”Add Parent adds a parent or guardian: contact details, relationship, Pickup Status and address, with Custody Notes for court orders and restrictions.
Two things here have real consequences:
- Pickup Status decides who staff may release the child to.
- The Mobile App Login toggle, on an existing parent with an email address, sends them an invitation to the parent app: Login enabled. An invitation email has been sent.
Medical
Section titled “Medical”Add Allergy, Add Medical Condition, Add Medication and Add Immunization each open a drawer. Put the response to a reaction in the allergy’s Emergency Action Plan — that is what staff see on their phones.
For a medication your staff administer, tick Is Administered?. Log on that medication records each dose, with who gave it and when.
Deleting a record
Section titled “Deleting a record”Delete Child Record permanently removes everything — personal details, medical records, attendance, documents, billing and development notes. You must type the child’s full name to confirm, and it cannot be undone. Withdraw or archive instead unless you have a legal reason to erase.
