Facility licenses
Compliance → Licenses holds your facility-level paperwork: Type, Number, Issuing Authority, Expiration, Capacity and Status.
Add a license
Section titled “Add a license”Select Add License, then fill in:
- License Type — State Operating License, Business Permit, Fire Inspection, Health Department, Zoning Permit, NAEYC Accreditation, NAC Accreditation, Food Service License, Liability Insurance, Workers’ Compensation or Custom
- Custom Name — when the type is Custom
- License Number and Issuing Authority
- Issue Date, Expiration Date and Renewal Date
- Capacity Limit — where the license caps your numbers
- Notes
Then Add License.
Nothing on this form is validated, and a blank form will save. Check what you typed before moving on — particularly the expiry date, since everything else here depends on it.
Statuses
Section titled “Statuses”Active, Expiring Soon, Expired, Pending Renewal, Suspended and Revoked. They are worked out from your dates, not chosen by you. A license with no expiry date shows No expiry and will never warn you.
Renewal dates matter more than expiry dates
Section titled “Renewal dates matter more than expiry dates”Most agencies want a renewal application weeks or months before expiry. Put the date you must apply in Renewal Date, and the date the license ends in Expiration Date, so the calendar warns you while you can still act.
Capacity
Section titled “Capacity”Capacity Limit records the number your license permits. It is a note to you — the app does not stop you enrolling beyond it. Check your enrolled numbers against it yourself, especially before accepting from the waitlist.
Keep the paper too
Section titled “Keep the paper too”This is a register, not a document store. Keep the signed certificates where your inspector expects to find them, and upload copies under the child or facility documents if you want them to hand.
