Tuition plans
Tuition & Billing opens on the Plans tab. Plans are grouped as Full-Time, Part-Time and Drop-In, with any individualised plans in their own section.
Create a plan
Section titled “Create a plan”Select Add Plan and fill in:
- Plan Name — required, and visible to families on their invoices
- Description
- Plan Type — Full-Time, Part-Time or Drop-In
- Days Per Week — not asked for drop-in plans; choosing Full-Time fills in 5
- Amount ($), or Daily Rate ($) for a drop-in plan — must be more than zero
- Frequency — Weekly, Bi-Weekly or Monthly
- Due Day (1-31) — the day of the month payment is due
- Grace Period (days) — defaults to 5
- Late Fee Amount and Late Fee Type — Flat ($) or Percentage (%)
- Age Group (optional) — restricts the plan to one age group
- Individualized for Child (optional) — a plan for one child only
- Status — active or inactive
Select Add Plan to save.
What families see
Section titled “What families see”The plan name and amount appear on every invoice, and in the parent app. Name plans the way you would explain them to a parent — “Toddler 3 days” rather than “TP3-2026”.
Grace period and late fees
Section titled “Grace period and late fees”The grace period is the number of days after the due date before an invoice is treated as overdue, and the late fee is what gets added then. These are charges to real families: set them to match what your enrollment agreement says, and check the agreement is what parents actually signed.
Individualised plans
Section titled “Individualised plans”Setting Individualized for Child creates a plan for one child at a custom rate — for subsidised places, staff discounts and negotiated rates. They appear in the amber Individualized Plans section so they are easy to audit.
You can also create one from the child’s Billing tab, where Billing Split divides an invoice across two payers by percentage.
Editing and retiring
Section titled “Editing and retiring”Edit on any plan opens the same drawer. Setting a plan Inactive keeps it for history but takes it out of the list you assign from.
Changing an amount affects invoices generated from then on, not invoices already sent. Tell families before a change lands rather than after.
